Inspection Reports in Electronic Format

Play Safety News»

Improvements are coming to all RoSPA reports for Community, Parish and Town Councils.

All clients will be able to receive reports in electronic format and have access to their information in a secure, online database. This helps us to fulfil our commitments to customer service and also reduces our impact on the environment, and makes the information more available and useful to playground owners.

Not only is this eco-friendly and helping to save our trees, but it will also greatly speed up the receipt of reports by our clients. In the case of Post-Installation inspections it will mean that in many cases the reports will be delivered to the client on the same day as the inspection.

Perhaps for many Parish Councils the thing that they really need to know is "what is wrong with our play area, what do we need to do about it, and how quickly should we do it?". So in addition to a full inspection report site owners will be able to produce a "To Do" list. This cuts through all of the technical parts of the report and gives them a simple list of what actually needs doing together with an assessment of the risk that can help to determine timescales for action to be taken. All reports will have photos of all equipment and all faults that need remedial action, meaning that the "To Do" list can be handed direct to whoever is responsible for maintenance without anyone having to extract the information from the report itself.

Another key feature is the saving on storage. For many councils, saving reports for the recommended 21 years is a major problem. Can you be sure that reports are not missing? The electronic reports will be saved on our servers and kept for 21 years. Every client will have a logon which enables them to access their report(s) from anywhere they have internet access. It is even possible to have the data available on a PDA or smart phone for viewing on site.

With reports available electronically they can be circulated amongst colleagues far more easily using email; or logon details can be shared so that colleagues can logon for themselves. A fully sortable asset register lists all equipment on site. This is particularly useful for Councils with more than one site. They can easily track their assets and issues.
